AI for accounting firms, across every client's ledger

A practice runs on other people's books: a Xero file here, a QuickBooks file there, email threads with each client, and deadlines that do not move. Memtro connects to the ledgers, mailboxes and calendars a firm already uses and answers questions across them, with every figure cited to the record it came from, so a partner can ask about a client without opening five systems.

Every client's ledger, correspondence and deadlines answered from one memory, with every figure cited to its record.

The systems these questions draw on, connected to one memory. Every connector reads by default; the tools that change something are granted by name, per team.

The problem

What it looks like today

  • 01Every client is a different ledger, and the question is always about one of them.
  • 02The answer to "has that client paid?" is in the ledger; the context for why not is in email.
  • 03Month-end and filing deadlines are tracked in a spreadsheet beside the systems that know the real state.
  • 04Junior staff ask the same questions a senior could answer in a minute, if asked.
  • 05Client queries arrive in the inbox and are answered from the ledger, so the same lookup is done again every time somebody writes in.
  • 06Nobody can say which clients have gone quiet, because going quiet is an absence in three systems at once.
How it works

What Memtro does about it

One memory in front of the systems you already pay for, reading by default and acting only where an administrator has granted the tool by name.

  • Connect Xero, QuickBooks Online, Sage Accounting, FreeAgent and Dynamics 365 Business Central: invoices, bills, contacts, bank transactions and reports, reading by default and acting where you grant it.
  • Add the firm's mailboxes, calendars, Slack or Teams and the document store, so the reason behind a number is as findable as the number.
  • Ask in plain English and the answer draws on the ledger and the correspondence together, with each fact cited; Xero can also raise a draft invoice or record a payment when asked.
  • Schedule jobs: overdue debtors every Monday, bank feeds that have not reconciled, filings due in the next 30 days, posted to the channel the team already reads.
  • Commitments made to clients in meetings and email are kept as a register and checked against the ledger for whether they were met.
The stack

System by system

What Memtro reads in each part of the stack, and what it may change there once the tool has been granted.

The client ledgers

Xero, QuickBooks Online, Sage Accounting, FreeAgent and Dynamics 365 Business Central, one connection per file: invoices, bills, contacts, bank transactions, accounts and reports. Xero can also raise a draft invoice, approve or void one and record a payment, once an administrator has granted those tools by name.

Mail and attachments

Gmail and Outlook: a thread read in order, and the text pulled out of the PDF, Word or Excel file a client attached, so the records sent on the third are readable without opening the mailbox.

Calendars

Google Calendar and Outlook Calendar: reviews, deadlines and who is seeing which client this week. The calendar can create or move a meeting when you ask and the action has been granted.

Working papers and documents

Google Drive, SharePoint and OneDrive or Dropbox: engagement letters, working papers and the last set of accounts, searchable beside the ledger they describe.

Chat

Slack or Microsoft Teams, so a question is asked where the team already talks and a scheduled job lands in a channel rather than in another inbox.

Companies House

Officers, filings, accounts dates and registered charges for a client or a counterparty, read live in the middle of a conversation.

There are 144 connectors in all, each with its own tools, its own permissions and a page of its own. Browse every connector →

Who it is for

Who asks what

Partner

Walks into a review already briefed: the client's position in the ledger, what they asked last quarter, what was promised and what is still outstanding, each figure cited to the invoice or email behind it.

Client manager

Asks about one file without opening it: which invoices are overdue, which transactions have not reconciled, and what the client said the last time the same query came up.

Bookkeeper

Finds the missing record rather than the missing system: which clients have not sent their paperwork, which bank feeds have stalled, and what was asked of them last.

Practice manager

Watches the whole book: filings due, files with no movement, fees unbilled, and which relationships have had no contact in a month.

The work that comes round

A month in the practice

  1. 01

    Records in

A Friday job lists the clients whose paperwork has not arrived, with the last request sent to each, so the chasing is one review rather than twenty searches through sent mail.

  2. 02

    Queries answered

A client writes in and the answer joins the thread to the ledger: what was invoiced, what was paid, what was said last time, and what the firm committed to in the review.

  3. 03

    Month end

The Monday debtors job and the daily reconciliation check run themselves and post to the channel, with the relationship owner named on every line rather than looked up afterwards.

  4. 04

    Deadlines

On the first, the filings due in the next 30 days arrive by client, and the commitments made in reviews are checked against what the ledger now actually shows.

In practice

Ask it like this

Plain English, from chat, your editor, a scheduled job or your own agent. In agent mode each question also checks the other systems that know about the same people, companies and references, and the answer ends with a line per system consulted.

Memtro · agent mode
Which clients have invoices more than 60 days overdue, and when did we last chase them?
Reading 5 systems…
  • Xero
  • QuickBooks Online
  • Sage Accounting
  • FreeAgent
  • Zoho Books

Every figure in the answer cites the record it came from, and the run ends with a line per system consulted.

  • ›Summarise what BigCo has asked us about VAT this quarter
  • ›Which bank transactions in the Smith file are still unreconciled?
  • ›What did we promise Acme at last week's review?
  • ›Which clients have not sent their records for last month, and when did we last ask?
  • ›Draft the email chasing Acme's outstanding paperwork, in the way we wrote to them last time
  • ›What did we bill BigCo last year against this year, and which invoices account for the difference?
  • ›Which VAT returns are due this month, and whose records are still missing?
On a schedule

Work that runs itself

A job is a prompt the agent runs on a cron schedule as its owner, with their tools and connections. Say any of these in chat and the job exists; every run's report is kept in a chat you can question.

  • schedule:Every Monday 08:00: list overdue debtors across every client ledger and who owns the relationship
  • schedule:Daily: flag any client bank feed with unreconciled transactions older than 14 days
  • schedule:First of the month: filings and deadlines due in the next 30 days, by client
  • schedule:Every Friday 16:00: clients whose records for the period have not arrived, with the last request we sent
  • schedule:Every quarter: fees billed by client against the same quarter last year, with the five largest movements

Questions

Questions people ask

Can it change a client's books?+

Only where you grant an action. Xero can raise a draft invoice, approve or void one and record a payment when asked, and each such tool is granted by name on the Permissions page, per team, so the firm decides who may change what. Until granted, a connector only reads.

Is each client's data kept apart?+

Memory is per organisation, and connections are granted to the teams that need them. A connection can be personal to one person or shared with named teams, so a client ledger is visible only to the people working on it.

Which model answers?+

Whichever you hold keys for: the auto model chooses the cheapest that can handle each question, with the token allowances you set per team.

Does it replace our practice management system?+

No. It sits beside it and answers across the ledgers, the mail, the calendar and the documents. A practice management system that exposes a reporting database is reachable over Postgres, MySQL or SQL Server, read-only, inside a transaction with a row cap and a timeout, and the query is shown in the answer.

How current are the figures?+

Connectors sync hourly and the agent reads live when you ask, so a question about an invoice raised ten minutes ago is answered from the ledger and not from a copy. Every figure names the record it came from, so it can be checked in a click.

What happens when a client leaves?+

Remove the connection and the firm stops reading that file. A right-to-erasure request goes further: everything held about a person is removed across every store, verified in the same transaction and receipted.
